If you are travelling and do not have access to your usual desktop computer, there are two convenient ways to access your work:

• Microsoft OneDrive – Access your files from your laptop.
• Remote Desktop – Connect to and control your office/desktop computer remotely.

You can use either option depending on what you need.

Option 1 – Access Your Files Using OneDrive

OneDrive allows you to access files that have been synchronized from your desktop computer.

Before You Travel

Make sure OneDrive is configured on your desktop computer.

1. Sign in to OneDrive using your Microsoft 365 account.
2. Make sure OneDrive is running.
3. Ensure your important files are stored in OneDrive.
4. If required, enable backup for:
   • Desktop
   • Documents
   • Pictures
5. Wait until synchronization is completed.

Access Your Files from Your Laptop

From your laptop:

1. Open a web browser.
2. Sign in to your Microsoft 365 account.
3. Open OneDrive.
4. Go to My Files.
5. Open the required folder.
6. You can view, download, or work with your files.

You can also install the OneDrive application on your laptop and sign in using the same Microsoft 365 account.

Important

OneDrive only provides access to files that have been synchronized.

If a file was saved only on your desktop and was not synchronized with OneDrive, you may not be able to access it through OneDrive.

Option 2 – Access Your Desktop Using Remote Desktop

If you need to use your actual office computer, you can use a remote desktop solution.

Remote Desktop allows you to connect to your desktop and use it almost as if you were sitting in front of it.

For example, you can:

• Open applications installed on your desktop
• Access files stored locally on the desktop
• Use accounting or business applications
• Access your normal Windows environment
• Work with files that are not stored in OneDrive

Before You Travel

Remote access must be configured before leaving the office.

Your office desktop should:

• Be powered on
• Have a working Internet connection
• Be configured for remote access
• Have the required remote-access software/service installed
• Be protected with a strong password and appropriate security controls

For business environments, remote access should preferably be protected with VPN and/or multi-factor authentication.

How to Connect from Your Laptop

Once remote access has been configured, you can connect from your laptop using the remote-access application provided for your setup.

After connecting, you will see your office computer's Windows desktop and can work on it remotely.

For security reasons, do not share your Windows password or remote-access credentials with anyone.

OneDrive vs Remote Desktop

Recommended Setup

For travelling users, we recommend using both OneDrive and Remote Desktop.

OneDrive

Use OneDrive for:

• Important documents
• Business files
• Files that need to be accessed from multiple devices
• File synchronization and backup

Remote Desktop

Use Remote Desktop when you need:

• Your complete office desktop
• Applications installed on the office computer
• Local files that are not synchronized
• Your normal Windows working environment

This gives you a backup option if you cannot access something through OneDrive.

Before Travelling – Checklist

Please verify the following before leaving your office:

☐ OneDrive is signed in
☐ Important files are synchronized
☐ Desktop/Documents backup is enabled if required
☐ You can access your files through OneDrive
☐ Remote Desktop has been configured
☐ The office computer will remain powered on
☐ Internet connection is available at the office
☐ Remote access has been tested from another network
☐ Multi-factor authentication is enabled where supported
☐ You have your required Microsoft 365/remote-access credentials
